Instructions for getting your book listed with the major online bookstores such as Borders, Amazon, and Barnes and Noble. Also includes information about the Canadian chain Chapters.
Online listing information for major bookstore chains
Amazon.com
Standard Catalog Listing- single title
Amazon.com, the world’s largest bookstore, provides a quick and easy way for the self-publisher author to get their title(s) listed with them. First of all, you should do a search just to be certain your title is not already listed. Amazon takes much of their information from Books in Print (see entry below) and it is possible that your title is already online. You should check under several options with individual searches for such items as author name, title of the work, and ISBN number to be certain that it is not listed. Books in Print does make occasional mistakes, and I discovered my title listed but under a different name. If I had not searched by ISBN number, I would not have known it was listed.
A simple form has been provided, which can be filled out online and submitted directly to the catalog department. The url for this form is:
http://www.amazon.com/exec/obidos/subst/partners/publishers/pub-listing-form.html/104-3155437-3397532
You can also send the information via email to the Catalog department at book-dept.amazon.com, though the form is the quickest and easiest method.
Standard Catalog Listing- multiple titles
If you have multiple titles that you want to add to their catalog, this requires a slightly different procedure. You will need to send the appropriate information in the format listed below, save the files as an ASCII Text file by naming your file with the name of the publisher, or imprint, and the .txt extension. This can be sent to Amazon by mail on diskette, cd-rom, or zip disk, or can be uploaded to them via FTP.
The types of information that can be sent include the following: (source – Amazon.com site)

o ISBN: Required. You can list more than one ISBN here if the information you are providing applies to multiple editions, bindings, or media (hardcover, paperback).

Descriptive Content
A Description: It's important to let people know what your book is about. This is your chance to hook them with a compelling description (this can be copy from your catalog, jacket, or any other synopsis you might have).
An Excerpt: How many people buy a book in the physical world without first opening it and reading a few lines? An excerpt is an incredibly valuable selling tool, and you can include one on each title's detail page. We recommend excerpting the entire first chapter.
Table of Contents: This lets readers know the specific topics that your title covers. Limited to 1,000 words. Especially important for nonfiction, text, and how-to books.
Reviews: Readers want to know what others are saying about your book. If the critics are raving, let potential customers know! Each citation is limited to 20 words.
Reading Group Guides: Keep them talking about your title! Reading groups and book clubs want discussion questions and background information to help them understand your book.
Amazon also provides some excellent information in their FAQ. Some of those questions are listed below.
Q. How can I make it easier for customers to find my book?
A. For best visibility, you should ensure that your book is fully searchable by subject, and that it is eligible to appear on appropriate browse (or bestseller) lists. Up to 10 subject headings can be assigned to each title. The subjects are drawn from industry standard or U.S. Library of Congress (LOC) assigned title headings.
We'll probably need your help to classify your title. Since the LOC has thousands of headings, it is easiest to browse our site for suitable subjects. The validity of one or more specific subjects can be determined by performing a Subject search. If the search results return other books, then that particular subject is most likely a valid LOC subject.
You may also consider looking on our site for a different book on the same topic or a similar topic, and seeing which subjects are listed. The subjects assigned to a book can be found at the bottom of the book's page under the caption "Look for Similar Books by Subject."
Once your title has correct subject headings, it should be eligible for related browse lists. A title must fall within the top 100 bestsellers in the category in order to be included.
Send a message to book-typos.amazon.com with any subject suggestions for your title. We will do our best to classify your title accurately in our database.
Q. Do you screen the reviews from publishers, customers, authors or other sources used on your site?
A. We do exert some editorial control over our customer reviews. Profane or spurious comments are promptly removed. Our intention is to make the customer review forum a place for commentary and feedback, so discussions that fall out of this broad parameter are removed from the Web site. As a bookstore, we are interested in cultivating a diversity of opinion in our reviews. If you feel that a customer review falls outside of our guidelines, please contact us at book-typos.amazon.com.
Q. How do I send a book to your editorial department for review?
A. Our editorial team organizes feature presentations, and you're welcome to send them promotional materials or review copies. To submit your book for possible feature or review, send it via the U.S. Postal Service to the address below. Please refer to our extensive list of subject areas to determine which category would best represent your book. Indicating a category will ensure that your request is processed in the most efficient manner possible.

Q. How do I fix typographical errors on my books' Amazon.com detail page?
A. The best way for you to notify us of typographical errors on our site is to send an e-mail to book-typos.amazon.com. Please be sure to include the ISBN.
See more details about submitting correction requests.
Q. How do I make typographical corrections to my author interview?

Specifics on the change you are submitting: · Contributor - Use "LastName, FirstName", identify authors, editors, illustrators, etc. . . For example: Brown, DR., John. · Format -- Books can be listed as Cloth Text, Mass Market, Trade Paper, Trade Cloth, Coil Bound, Perfect Bound, Library Binding, Paper Text, Spiral Bound, Audio Cassette, or Compact Disc. Music can be listed as Compact Disc or Audio Cassette. Video can be VHS, DVD, or Laserdisc. · Number of pages. · Publication date -- Use mm/dd/yyyy format. · Retail price -- Do not use the $ sign. For example: Cold Mountain: Fiction & Literature : Historical, Fiction & Literature : War, Literary Criticism & Essays : History & Criticism - American - General, 1860s, Family & Friendship. · Title -- Please use the full title, no abbreviations. Do use all articles. Barnes and NobleGetting StartedIf you would like to sell your books through Barnes & Noble.com, the first step, if you do not work through a distributor, is to become a "vendor of record" with their warehouse. Next, you must supply them with bibliographic information and any other content that will help customers learn about your books. Finally, you can submit covers, reviews, catalog copy, excerpts and more, just like the other online vendors.Establishing the Warehouse Relationship The procedure for starting this relationship is simple. You first need to go online and complete their Publisher Questionnaire. You can send the form to the Publishers Services Deparment via email, fax or regular mail. (see below) The average response time for them to get back to you is 6-8 weeks. They will review the titles and order up to two copies of each title for their warehouse. Demand over time will enable them to figure out the proper amount of stock that they will need on hand. You will receive a purchase order once they get you into the system as a vendor of record. Do not send them titles prior to receiving a purchase order from them. Retail Store Placement If you would like your title to be considered for placement in their stores, please submit a finished copy of the book (no manuscripts please), along with marketing and promotion plans, trade reviews, and a note describing how the book meets the competition (what makes it unique) to: The Small Press Department, Barnes & Noble, 122 Fifth Ave, NY, NY 10011.If you work with a DistributorYou do not need to go through the above if you work with a distributor like Baker & Taylor or Ingram. Warehousing your books separately with B&N is not necessary when you have a distributor relationship.Adding Content to your listingThe more information you can provide, the better your chance of enticing customers to buy. We welcome any and all of the content listed below: · A Cover Image: Please format this according to our image guidelines. · Annotation: This information presents the argument of the book in the most distilled form possible. The suggested length is between 100 and 300 words. · A From the Publisher note: This longer, more detailed presentation of the book's subject, its narrative line, its distinctive features, or its general approach allows you to present material that will appeal to a specific audience (like engineers or chess players). You may lift copy directly from the flap copy or the back cover of the book. Do not include URLs in this -- or any -- copy. · A Table of Contents: This information is particularly valuable for computer books, medical books, or other professional-level subject matter. Please include chapter names, page numbers, and chapter contributors, if applicable. · A first or sample chapter: You may include any relevant example of the book's text (e.g., a recipe from a cookbook). · Positive reviews: Please supply the review excerpt, the media source, the name of the reviewer, and the date. We cannot accept entire reviews. Instead, please submit excerpts that follow the Fair Use guidelines according to the Copyright Law of the United States of America. · Quotes: Endorsements from various individuals can often help drive sales. For Academic and Professional authors, you may include a university or other relevant affiliation. · Author biographies and lists of contributors: These are particularly valuable for academic works. · Keywords: Our search engine can use keywords, single words relevant to the book in question, to steer customers towards particular books. We can accept up to five keywords per book. If you wish to submit other types of content, please discuss them with us. We are eager to work with publishers to make each product page as robust and meaningful as possible. If any corrections need to be made to the information, you can email the changes to corrections.barnesandnoble.com. Please remember to include the title and ISBN in all your correspondence and to be as specific as possible about the changes that need to be made. If you would like to add text content (such as a "From the Publisher" description) or cover images, please send them to titles.bn.com.Preparing Cover Images for the Site Please follow all directions carefully. No matter how you transmit your cover images -- by email, CD, or FTP -- they will need to be formatted correctly. We can accept cover images in the following file formats: GIF, TIFF, or JPEG. The image must be no smaller than 400 pixels wide. The resolution should be no less than 72 dpi, but no more than 150 dpi (please do not send extremely high resolution scans, i.e., 300 dpi). The image must be a frontal cover scan (not the entire cover or a shot of the book with drop shadow; product shots will only be accepted in certain cases, such as multivolume sets). The image must be in RGB (do not send images in CMYK). The bit depth should be set no lower than 8. Each scan needs to be a separate file, named by its ISBN with the file suffix (e.g., 12345689x.tif). Please send PC or Mac files via email or on CD, floppy, or Zip disk to: Raymond Liao at rliao.book.com. Due to the volume of cover submissions we receive, covers that are not properly named will not be processed. Publishers without electronic capability may send in finished books to be scanned. This process takes more time and is, therefore, not the desired method. However, if you need to send us finished books, please mail them to: Raymond LiaoBarnes & Noble.com76 9th Avenue, 9th FloorNew York, NY 10011 3. Preparing Text for the Site If you are submitting text to one of our email addresses, you should simply write out the text or copy-and-paste existing text from another document. Remember to include the ISBN and title for every book you send us text for. If you are sending us text via CD-ROM or FTP, you must format that text in order for us to access it. We ask that publishers format their data in the ONIX International format or according to what is called the Standard Record Layout. An explanation of the Standard Record Layout appears below. Please review it carefully. If you have questions regarding the format, please contact Jemal Freeman (jfreeman.book.com). Jemal will be able to steer you through the process of organizing your data. Barnes & Noble.com also accepts data in the ONIX International format. ONIX (On-Line Information Exchange) is an XML-based industry standard format for data transmission developed by the Association of American Publishers (AAP) in conjunction with booksellers and book data aggregators. ONIX is maintained in the U.S. by the Book Industry Study Group (BISG). Copies of the ONIX International standard may be downloaded at www.editeur.org/onix.html. Barnes & Noble.com can accept files formatted in any version of ONIX through ONIX International Release 1.1. For more information on our company's ONIX policies, please contact our Director of Cataloging and Product Data, Richard Stark, via email at rstark.book.com. 4. Making Changes via Email If you wish to change the title, author, publication date, or any other bibliographic detail, please send your requested change to corrections.barnesandnoble.com. Be sure to include the ISBN of the book as well as the title for each change you wish to make. Surprisingly, we receive a lot of copy that does not reference a specific ISBN -- and this copy cannot be processed. To add text content or a cover image to the site, please email the information to: titles.bn.com. Publishers who send us content via CD-ROM or FTP may still use these email boxes to add content and covers to their respective titles. 5. Sending Content on CD-ROM or via FTP Covers and content on a CD-ROM should be formatted according to the protocols described in Step 3. If you are submitting a CD-ROM, it should be mailed to: Jemal FreemanBarnes & Noble.com76 9th Ave, 11th FloorNew York, NY 10011 FTP content will need to be formatted correctly as well. If you would like to set up an FTP account, please email Jemal at jfreeman.book.com. Mike can set up a user ID and a password for publishers interested in pushing information into our system. Please note that due to the volume of publishers we work with, we are not able to pick up data from a publisher's FTP site; we require that such data be "pushed" into our system by the publisher. 6.
