Called variable expenses these are the ones that can fluctuate as your project progresses and left unchecked it is entirely possible that they could end up taking your project over budget. This is the last thing that you want, not only is there a possibility that it might lead to a cut in your bonus from the project, but it may also lead to your project management qualifications coming under scrutiny when looking at future projects.

A really easy way that you can keep track of your expenses is to use a project management software tool. This is somewhere that you can break down your expected costs and keep a note of any expenses, including variable ones, as they occur. This will allow you to see at a glance when you are heading towards overspending or have already done so and allow you to look at the rest of your expenses to see if there are any adjustments that you can make to bring things back to where they should be.

Provide access
Whilst it is undoubtable important that as Project Manager you need access to any system you use to keep track of the expenses of your project, it is also important to ensure that other people have access as well. This is especially important if you are likely to be away from your desk, or even the office for longer periods of time when updating the costs might be difficult. Allowing others to have access will ensure that in your absence expenses can be updated so that you can always be on step ahead when it comes to seeing how your budget is going.
Identify your budget
Go through your budget carefully and make sure you identify all of the expenses. Make sure that you have thought of everything before you start, run through the whole project from start to finish to check you have budgeted for everything you might need. When you have done this, you will have a good idea of your expenses, and hopefully will have thought of everything with no nasty surprises. It can be a good idea to give someone the task of tracking these expenses so that you keep on top of them, they will then be able to report back to you promptly if there are any issues.
