APPLICATION - The first step in developing an effective organization is to look at the necessary functions that the business has to manage. These functions are then grouped into logical areas of similarity. The major groupings of any company are:
A. FINANCIAL MANAGEMENT which includes cash management, budget control, financial strategies development, and financial recording (accounting).
B. OPERATIONS MANAGEMENT which deals with the operations of the business you are in.
C. PERSONNEL MANAGEMENT involves interviewing, screening, hiring new employees, and effectively managing existing employees. This includes training, placement, promoting, demoting, disciplining, and if necessary firing an employee.
D. ADMINISTRATION MANAGEMENT involves ensuring that the necessary paperwork, computer usage, and business operations documents are generated, stored, and are used properly for effective management of the business.
E. SALES & MARKETING MANAGEMENT deals with making plans for selling your products or services and carrying them out. This includes analyzing the existing market and potential markets not yet tapped into; analyzing existing sales efforts; analyzing sales efforts as a comparison to the company's and the entrepreneur's goals for the business; making plans for future sales efforts; and developing a system for tracking and analyzing those future efforts against the company plan.
An effective organization is achieved by logically grouping all of the necessary duties into functions or positions and then developing an organizational chart. An organizational chart depicts, in a graphic form, the lines of direction from one manager to another. This chart also shows the areas of responsibility for each department manager. Next comes the process of developing Job Descriptions for each of the management and supervisory positions. Once the job descriptions have been developed for the department managers, the process of assessing your people in the organization has to begin. When these Job Descriptions are completed and approved by top management, the capabilities and backgrounds of the current people in the company must be reviewed. Then the most qualified individuals are then placed into the department managers position on the organization chart.
